This position reports daily to our Ithaca, NY office.I. JOB DESCRIPTIONThe Advantage Sport & Fitness Logistics Coordinator is responsible for effectively managing the flow of information related to incoming product from vendors, Advantage Logistics, Purchasing, and customers. This process includes monitoring/tracking various sales orders, purchase orders and transportation documentation to enable our logistics team to deliver and install the finished goods.II. JOB RESPONSIBILITES

  • Develop and implement training plan for Installation Team with support from Business Operations that address the following
  • New Hires: Customer service, procedures related to in-house staff, safety training
  • Continuing Education: Updated procedures related to in-house staff, safety procedures
  • Follow up: Tracking progress of installation technicians after on-boarding process
  • Involved in hiring of Installation Team members
  • Assist in development of streamlined delivery procedures for installation team
  • Collect, organize and communicate information pertaining to product arrival, inventory, availability, and install/delivery to all interested parties in a timely and professional manner.
  • Organize and maintain customer communication from the time an order is booked to completing the installation.
  • Work with Purchasing and Logistics Teams to identify orders that are ready to deliver and coordinate scheduling with customers
  • Provide product arrival, BOL, packing lists etc., to Purchasing when requested
  • Assemble and verify the accuracy and completeness of pre-installation paperwork from customer
  • Manage multiple databases that contain all information related to an installation
  • Contribute to the creation of the installation schedule, communicate the installation schedule to all interested parties and act as a backup for the creation of the install schedule when needed
  • Document and inform service department of service-related issues at an installation
  • Maintain systems and procedures for managing the flow of information between Warehouse, Purchasing, Installation, and Sales.
  • Work with Logistics and Purchasing to provide warehouse staff with orders that are ready for delivery (pick lists), and a weekly schedule of anticipated inbound and outbound shipments.
  • Process paperwork upon completion of an installation, ensuring accuracy of information for billing and inventory purposes.
  • Complete additional tasks and projects as assigned.III. SKILL/CHARACTER REQUIREMENTSA. Interpersonal SkillsThe Logistics Coordinator must be a strong communicator, and work effectively with a wide variety of people, including customers, vendors, co-workers, and company management. The Logistics Coordinator represents the company to our customers and must always conduct themself in a professional manner.B. Computer SkillsThe Logistics Coordinator must have excellent computer literacy and be able to seamlessly operate in multiple platforms to accomplish the daily management of information related to product and installations as well as serve as a back-up for establishing the delivery and installation schedule as needed. A working knowledge of ERP systems would be ideal and a strong background in Microsoft software systems is a must.C. Organizational/Planning SkillsThe Logistics Coordinator must possess strong planning and organizational skills in order to effectively manage documentation associated with product and installation activities.D. Logistics Background SkillsThe Logistics Coordinator must possess strong background in logistics coordination/management, understand quality management principles, and utilize logistics IT to optimize procedures.E. General CharacteristicsThe Logistics Coordinator must conduct themself in a professional manner, must be thoroughly dependable and responsible, and must be careful and attentive to detail. An extremely strong attendance record is a critical requirement of this position.IV. HOURS REQUIREDThe required hours are somewhat flexible to accommodate the specific scheduling requirements of each week, but each day must begin work by 8:00 am and the average work week is approximately 40 to 45 hours per week, as follows:Monday through Friday: Minimum 8 hour daySaturday: Hours occasionally required.Sundays: Not RequiredV. COMPENSATION/BENEFITSThe Logistics Coordinator is an FLSA non-exempt, hourly, permanent, full-time position, and is eligible for company benefits including health, dental, and 401(k).
