The Office of Diversity Programs in Engineering (DPE) offers a comprehensive portfolio of programs at the precollege, undergraduate, graduate, and faculty levels which facilitate the recruitment, development, retention, and success of all members of the engineering community, but especially those from minoritized backgrounds and/or historically underrepresented in engineering. DPE advances diversity, equity, and inclusion reflective of the College of Engineering's strategic plan, which enables community members from all backgrounds and cultures to thrive and succeed at Cornell.

We seek a highly organized, pro-active, and forward-thinking administrative assistant to provide essential support for the DPE team as well as for an extensive portfolio of programs ranging from pre-college to faculty. The position requires a nimble professional who is intrinsically motivated and flexible, as we work in a dynamic environment. While this is a public facing position, this role is more than displaying a professional image and enjoying the interactions with students, faculty, and community partners. It's about possessing excellent communication skills, keen emotional intelligence, consistently applying prioritization and multi-tasking skillsets, and seeing projects through timely completion. We are looking for a self-starter who can receive direction as well as manage up.

IN THIS ROLE YOU WILL:
--- Contribute to a high functioning work group that fosters a positive, engaged work environment.
--- Provide administrative program support for outreach, mentoring, and fellowship initiatives as well as general administrative support for the office of Diversity Programs in Engineering (DPE).
--- Serve as the primary administrative support for the Director of DPE.
--- Serve as the front-line lead of office reception space and serve as the primary contact fielding general questions, screening calls and emails, and greeting and assisting office visitors.
--- Perform work in a busy reception area with the ability to multi-task with frequent interruption.
--- Manage complex logistics related to office program calendar, program expenses and purchases, travel, and event planning, website, and newsletter.
--- Coordinate logistics for special projects and events as assigned by the Director.
--- Perform data collection, analysis, and management of engineering student information on university student systems and related office systems.
--- Hire, train, and supervise undergraduate student employees.
--- Work with a high degree of accuracy, quality, timeliness, and handle confidential material per university policies and FERPA regulations. --- Enjoy support from DPE leadership to enhance your professional and technical knowledge by attending professional and educational workshops as well as support to grow your professional networks.

REQUIRED QUALIFICATIONS:

The ideal candidate will have a proactive approach to taking ownership of their work, impact, and results. As a continuous learner who a has a demonstrated ability to use experience and sound judgement in managing a workload, the successful candidate works both independently and collaboratively to execute tasks efficiently within a team environment.

YOU WILL NEED:

--- An Associate's degree with a minimum of four (4) years of experience in an administrative support role or an equivalent combination of education and experience. --- Minimum of two (2) years of event planning and management or related experience.
--- Demonstrated experience working with diverse populations and a strong commitment to diversity and inclusion
--- Proven ability to clearly and effectively communicate both verbally and in writing.
--- Must be able to maintain a professional atmosphere in a busy office setting with a responsive customer service approach. --- Ability to multi-task and prioritize tasks to meet competing deadlines and priorities, manage routine interruptions, and pay close attention to details.
--- Ability to maintain confidentiality and to appropriately handle highly sensitive information.
--- Technical Skills: Demonstrated competency in the use of Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, etc.), Qualtrics (or similar Survey Tools), FileMaker Pro (or similar databases), website content management and/or other related software.

PREFERRED QUALIFICATIONS:

  • Bachelor's degree and at least 2 years of experience in event management and/or data analytics; or a equivalent combination of education and experience.
  • General knowledge about various engineering fields and Cornell Engineering programs, services, and resources
  • Academic and/or applied background in the STEM disciplines, education, student development, or other related disciplines
  • Proven ability to effectively manage a high volume of work, meet deadlines, and accurately determine priorities.
