The Benefit Services and Administration (BSA) Office is looking for an Administrative Assistant to assist the office and its leadership in delivering successful day-to-day operations while also supporting specialized projects and benefit plan research, auditing and communication.

This is a part-time, 20 hour/week position.

What you will do:

This role directly reports to the Sr. Director, Benefit Services and Administration and provides administrative and tactical support for the various functions and programs administered by the BSA team.

This role will team with the Sr. Director and in some cases, the Director, Benefit Services and Administration, to move forward various functions and programs, while supporting processes and projects, including calendering and organizational planning, searches, requests for proposals, benefits budgeting and new initiatives as they arise. This team member will be the first point of contact and will manage daily activities and meetings for Sr. Director; review and prioritize correspondence, compile and organize documents and initiate follow-up when necessary, while interacting with all individuals, organizations and vendors in a professional manner and while providing excellent customer service.

This role drafts key communications, manages archives, and leads various ad hoc administrative projects. They will respond to complex and non-routine inquiries, advise the Sr. Director on policy and procedural concerns, and own and track issues to completion.

Hybrid Remote

This position is located in Ithaca, New York. Due to the COVID-19 pandemic, and the University's decision to limit the number of on-campus employees, the successful applicant will be asked to perform this role remotely in the United States for a limited time, only until the University can permit more employees to work on campus. Once the University permits more employees to work on campus, the successful applicant will be expected to work on the Ithaca campus, although they may be permitted to perform a portion of their work remotely.

The New York Convenience of employer guidelines require New York State individual tax reporting and withholdings for this position. Additional individual state income tax filings may also be required if working temporarily outside New York State.

You will need:
Associates Degree with at least 2 - 4 years of administrative support experience, or equivalent combination of education and experience required.

  • Strong administrative skills; be extremely organized and able to balance multiple tasks with competing priorities efficiently, professionally and with minimum supervision; work autonomously as well as part of a team; and build solid relationships and trust with colleagues.
  • Polished communication skills and be able to effectively interact with department staff, stakeholders across the University, and external vendors, customers and internal and external stakeholders. Proven success with persuading others and adapting communication to various audience groups.
  • Creative thinking and proactive problem-solving skills should come naturally for someone in this role.
  • Strong analytical skills and including attention to small details.
  • Demonstrated ability to deal with sensitiveand confidential matters with tact and discretion.
  • Technically savvy with a desire to learn new programs, apps and systems.Proven proficiency with Microsoft Office products including Word, Excel, PowerPoint and Outlook.

    If you have any of the following, it is a great bonus:
    • Additional education and previous experience working in HR or Benefits is desirable.
    • Prior experience with HR systems, or budget or financial systems is also desirable.
